The deClusterize Method

From digital chaos
to lasting clarity.

Most people don't have an organisation problem — they have a system problem. deClusterize gives you a proven five-step method, a personalised plan, and the daily structure to make clarity stick. Here's exactly how it works.

// the five-step method

Every deClusterize journey follows the same five steps — but the tasks inside each step are personalised to your specific situation, goals, and the time you have available.

01

// assess — 5 minutes

Pick where to start

Browse our guides across the five core areas of your digital life — files and folders, email and inbox, photos and media, devices, and cloud storage. Pick the area that feels most overwhelming right now and dive into that guide first.

Every guide is designed to stand alone, so you don't need to work through all five areas. Start where it matters most to you and expand from there when you're ready.

// plan — pick your guide

Follow a step-by-step guide

Each guide is a prioritised, sequenced list of tasks ordered by impact — the things that will make the biggest visible difference come first, so you get early wins that keep you motivated.

Every task is scoped to take 15 minutes or less. Work through them at your own pace — first clearing the backlog, then building the structure, then establishing the lightweight habits that keep everything clear long-term. Skip tasks that don't apply and move on to the next.

03

// execute — 15 min/session

Work in focused 15-minute sessions

This is where the real work happens — and it's simpler than you think. Open your plan, pick the next task, set a timer for 15 minutes, and follow the step-by-step instructions. Every task tells you exactly what to do, where to do it, and what "done" looks like. There's no ambiguity, no decision-making mid-session, and no rabbit holes.

The 15-minute constraint is intentional. Research consistently shows that short, frequent bursts of focused work are far more effective than infrequent long sessions for building lasting habits. You'll be surprised how much you can accomplish in 15 minutes when you're not also figuring out where to start.

Each session ends with a completion confirmation and a preview of the next task — a small moment of satisfaction that primes you to come back tomorrow.

// track — ongoing

Watch your progress compound

Your progress dashboard tracks every session you complete, every gigabyte you free, every inbox you tame, and every streak you build. Week-by-week charts show you exactly how far you've come — turning invisible progress into visible proof that keeps you going.

At the end of each week, you receive a personalised Progress Digest: a summary of what you completed, what you freed up, which area improved most, and what's coming up next week. Small celebrations, earned milestones, and a growing streak counter are all deliberately included — because motivation matters and visible progress is one of the most powerful habit-formation tools available.

// maintain — 5 min/week

Shift into maintenance mode

Once you've completed your core plan — typically within 30 days — deClusterize automatically transitions you to Maintenance Mode. This is a lightweight weekly routine of two or three micro-tasks that takes under 5 minutes and keeps everything you built from sliding back into chaos.

Maintenance Mode tasks are gentle: a quick scan of your downloads folder, a glance at your inbox count, a prompt to back up your phone. They're reminders as much as tasks — small, consistent nudges that make digital tidiness a background habit rather than an active effort. Every quarter, your plan refreshes with a short re-assessment so it stays aligned with however your life has changed.

// the science behind 15 minutes

Short sessions aren't a compromise — they're the strategy. Here's why the 15-minute constraint produces better long-term results than marathon organising sessions.

66 days

How long habits actually take to form

A landmark University College London study found the average time to form a new habit is 66 days — not the often-cited 21. But the study also found that missing an occasional session had no measurable impact on habit formation. What mattered was consistent repetition over time, not perfection.

A 15-minute daily session is easy enough to keep up even on busy days. A two-hour session is easy to skip. That's why our method prioritises frequency over intensity — you're not trying to organise everything at once, you're building the habit of organising regularly.

40%

Decision fatigue kills organising sessions

Research by Baumeister and colleagues found that decision-making depletes a finite cognitive resource — and that the quality of decisions deteriorates significantly after a long session of choices. Organising is full of micro-decisions: keep or delete? Move or rename? Archive or action?

By limiting sessions to 15 minutes and scoping each task so tightly that there are almost no decisions to make, deClusterize avoids the decision fatigue that causes most self-directed organising attempts to stall halfway through. You finish each session with energy left over — which means you come back tomorrow.

// five areas, one plan

deClusterize covers every corner of your digital life. Here's what each of the five areas involves — and the specific tasks your plan might include.

Files & Folders

Your file system is the foundation of your digital life. A clear folder structure means you spend less time searching and more time working. Tasks in this area build a folder hierarchy that's intuitive enough to maintain without effort.

Clear and organise your desktop
Build a three-level folder structure
Rename files with a consistent convention
Find and remove duplicate files
Archive old project folders

Email & Inbox

The average person receives 121 emails per day and spends 2.6 hours managing them. deClusterize's inbox tasks are designed to cut that time to under 20 minutes — and keep it there.

Archive the existing backlog
Set up a two-folder action system
Create filters for repeat senders
Mass-unsubscribe from newsletters
Establish a daily email routine

Photos & Media

Most people have thousands of photos scattered across multiple devices, apps, and backup drives. This area consolidates, cleans, and creates an album structure you'll actually use.

Consolidate photos from all devices
Remove blurry duplicates and screenshots
Build a year-based album structure
Set up automatic cloud backup
Organise shared family albums

Devices & Storage

Slow devices full of apps you don't use and files you don't need are a daily drag on your productivity and mood. This area frees storage and keeps your devices running cleanly.

Audit and uninstall unused apps
Clear app caches and temp files
Offload photos and videos to cloud
Review and remove large files
Set up automatic device backup

Cloud & Backup

Cloud storage is only useful when it's organised. This area consolidates your cloud accounts, removes redundant files, and makes sure the things that matter are actually backed up.

Audit all connected cloud accounts
Remove duplicate cloud copies
Organise shared Drive or Dropbox folders
Set up a backup-of-backups system
Revoke access for apps no longer used

Your data stays yours

We do not sell, share, or train AI models on your personal data without your explicit consent. All integrations use secure OAuth — we never ask for your passwords. You can revoke any integration instantly from your settings, and your account data is deleted within 30 days of a deletion request.

Not at all. deClusterize is designed for people who consider themselves average or below-average with technology. Every task includes plain-English, step-by-step instructions with screenshots where relevant. If you can use a smartphone and browse the web, you have all the skills you need. Our most active users range from teenagers to retirees in their 70s.
No — just pick the guide for the area that bothers you most. If your file system is fine but your inbox is a disaster, start with the email guide. Each guide is self-contained, so you only work on what matters to you. Skip any tasks that don't apply and move on.
Generic to-do apps give you a blank canvas and expect you to know what to put in it. Filing guides give you advice but don't follow up, don't personalise, and don't track whether you've actually done anything. deClusterize combines a personalised plan generator, step-by-step task execution, progress tracking, habit-formation science, and a community of 50,000+ people — all focused on one outcome: a digital life you're in control of. It's the difference between a cookbook and a personal chef.
Individual accounts cover one person's digital environment — ideal for personal use. Our Team plan (coming soon) extends this to households and small teams, with shared workspaces, multi-user progress dashboards, and the ability to share templates and folder structures between members. If you'd like early access to the household plan, email us at info@declusterize.com and we'll add you to the waitlist.
